The challenge

SEK, a network of international schools with an IB program, needed become independent of Moodle and to have its own modern system aligned with its internal academic processes.

The main challenge was migrate all existing information (users, evidences and tutor-student relationships) and tailor the user experience to the different profiles without losing the structure or the logics that students and teachers already knew.

Among the key objectives:

  • Transfer and normalization of the Moodle database to a new environment.
  • Unification of flows and screens, maintaining the original structure but optimizing navigation and comprehension.
  • Improved usability and visibility of academic progress through indicators and dashboards.
  • Automation of tutor assignment from Salesforce/Alexia at the beginning of the course.
  • Implementation of hierarchical roles (student, tutor, coordinator, admin) with differentiated permissions and views.

The solution

Creation of a centralized system for the SEK Diploma, which modernizes the digital experience without breaking the previous structure.

The new environment allows:

  • Manage and validate evidence according to the five IB transformations.
  • Facilitate communication between students and tutors through contextual chat and notifications.
  • Visualize individual and group academic progress.
  • Control the teaching load and the assignment of tutors.
  • Manage users, tags and metrics from an advanced administration panel.
  • Automate the generation and sending of periodic follow-up reports.

The design

It was not a comprehensive redesign, but rather a re-layout of existing screens, by applying improvements in usability, accessibility and visual consistency.

SEK's institutional graphic identity was maintained, reorganizing modules and information hierarchies, improving legibility, interactive components and the experience of the three main roles (student, tutor and coordinator).

Some screens - such as the evidence detail, tutor panel and messaging - incorporated visual and behavioral adjustments to optimize flows and reduce friction.

The most important changes have been made in the administrator role, where the user customization flows have been simplified, as well as the simplification of general events.

  • Data migration and normalization from Moodle and Salesforce.
  • Authentication via Microsoft Azure Login
  • Re-design of views and adaptation of existing components.
  • Creation of new modules (automatic assignment, admin panel, technical support).
  • Incorporation of notifications, real-time chat and badge system.
  • Multilanguage implementation (ES/EN).
  • Optimization of evidence and file upload performance (up to 500 MB).
  • Automatic generation of reports and metrics via institutional mail.
